2. Information we use
When you contact us, we use the information you choose to provide. This may include:
- Your email address or phone number, UK postcode and project type.
- Your preferred design direction, measurements, project notes, photographs or plans, if you provide them.
- Your brochure or sample request, appointment preferences and correspondence with our team.
Our hosting and security services also process technical request information, such as IP address, browser information and request times, to deliver the website, diagnose faults and prevent abuse.
The online form requires a project type, postcode and a way to contact you. Brochure requests require an email address. Measurements and attachments are optional. If you do not provide the details needed to answer a request, we may be unable to provide a useful response. Please share only information relevant to your project.
3. Why we use it
We use your information to answer your enquiry, discuss your design, prepare a quote, send the brochure you requested, or arrange the samples, visit or service you ask about.
Where necessary to take steps you request before entering a contract with you, or to perform that contract, we rely on contract as our lawful basis. For general questions and enquiries made on behalf of a business, we rely on our legitimate interests in responding to requested communications and managing relevant business relationships. We also have a legitimate interest in keeping our website and communications secure.
We rely on a legal obligation where we must keep or disclose information to comply with applicable law.
Submitting a request does not subscribe you to marketing. We do not use the form to add you to a newsletter or advertising list. We do not make decisions with legal or similarly significant effects on you using solely automated processing.
5. International processing
Some hosting and email services process information outside the United Kingdom, including in the United States. Our providers’ data processing arrangements use applicable adequacy arrangements or approved contractual safeguards, including standard contractual clauses with the UK Addendum where required.
You can contact us to ask about the safeguards relevant to your information and how to obtain a copy.
6. How long we keep it
We keep enquiries and related attachments for the period needed to answer the request and manage relevant follow-up. We assess retention by whether the enquiry is still active, whether a project goes ahead, whether information is needed for aftercare, and whether a legal obligation or claim requires us to retain a record.
Once those purposes no longer apply, information is deleted or anonymised. Optional project images are kept only while needed for the enquiry or resulting work. Technical logs are kept for the limited period needed for security and troubleshooting, in line with the services’ configured retention.
7. Your rights
Depending on the circumstances and lawful basis, you can ask to access your information, correct it, delete it, restrict its use or receive a portable copy. Some rights are subject to legal conditions and exceptions.
You have the right to object to processing based on legitimate interests. Contact Sales@vitiumuk.co.uk and tell us what you would like us to review.
We may need to confirm your identity before acting on a request. If we rely on consent for a separate activity, you can withdraw that consent without affecting earlier lawful processing.
You can raise a concern with us or complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.
9. Changes to this notice
We update this notice when our services or handling of information change. The date above identifies the current version. If you have a question, our team can help at Sales@vitiumuk.co.uk.
